The Biothreats Emergence, Analysis, and Communications Network (BEACON) is a program based at the Center of Emerging Infectious Diseases (CEID) at Boston University that integrates advanced Artificial Intelligence (AI) with global human expertise to rapidly and transparently identify and report on emerging infectious diseases events in humans and animal species. BEACON delivers rapid, transparent reporting on emerging biological threats worldwide.
BEACON seeks a Program Associate to support the program and will be responsible for helping with data management and cleaning, assisting with funding proposals, programming, communications, working with external contractors, and providing calendar support to leadership.
This position works under the direction of the Director of CEID/BEACON and co-directors of BEACON and reports to BEACON Program Manager. About the Position Data:
- Cleaning and management (40%)
- Review and clean daily BEACON disease report data for accuracy and completeness.
- Maintain BEACON Monitoring and Evaluation (M&E) indicators and generate relevant reports and presentation materials using M&E data.
- Generate summary reports and other on demand information as needed.
- Flag issues for technical staff through appropriate documentation and reporting mechanisms.
- Grants and proposal support (20%)
- Assist with preparing grant applications and progress reports, including assembling background information, biosketches, current and pending support, facilities and resources, and other standard components.
- Help develop and maintain proposal templates, boilerplate language on BEACON, and partner institutions, and updated project descriptions.
- Help leadership and staff prepare background research for new initiatives.
- BEACON administrative support (20%)
- Provide day-to-day administrative support for BEACON, including meeting scheduling, note-taking, and follow-up task tracking.
- Support contracting, procurement, and invoice processing in collaboration with CEID and departmental administrative staff.
- Communications backup (10%)
- Serve as backup point person for BEACON communications, including drafting or formatting content for websites, newsletters, slide decks, and briefing materials for internal and external stakeholders.
- Help maintain up-to-date web content and descriptive text about BEACON activities, outputs, and events.
- Utilize graphic design and data visualization skills to prepare visual representations of data (e.g., infographics, tables, graphs, and dashboards).
Calendar and executive support (10%) - Provide calendar and logistical support for BEACON Editor-in-Chief, including scheduling internal meetings, cross-institutional calls, and stakeholder briefings across time zones.
- Coordinate logistics for in-person and virtual events (rooms, Zoom links, AV, agendas, participant communications, and basic travel arrangements as needed).
Required Skills - Bachelor's degree, MPH preferred.
- 1-3 years relevant operations and/or research program work.
- Fluency in Google and Microsoft tools (e.g. google drive, docs, sheets; MS Office, zoom, etc.)
Preferred Skills:
- Experience and/or interest in emerging infectious diseases and technology in public health.
- Experience or comfort with administrative program management in a university context.
- Strong process and project management skills.
- Excellent organizational and writing skills.
- Excellent communication and people skills with variety of stakeholders.
- Ability to identify and resolve problems, engaging relevant team members when needed.
- Experience working independently towards collective goals.
- Must have comfort working with uncertainty and in a fast-paced, dynamic start-up environment.
